Executive Assistant to the CEO

Role overview

Ice Barrel is looking for an organized, analytical, and motivated Executive Assistant to work closely with our executive team, taking many of their responsibilities and making them your own. You’ll work together side-by-side daily, tackling key issues facing Ice Barrel and finding new ways to ensure the business can scale to its fullest potential. You’ll perform a wide range of administrative duties, including complex calendar management, booking travel, coordinating meetings and events, producing, editing, and reformatting documents and correspondence; preparing expense reports and purchase orders; updating organizational charts; coordinating department or equipment moves; and providing support to a large, diverse team of people with a variety of management styles.

Key responsibilities

  1. Work as an extension of our CEO, helping to amplify his efforts by identifying opportunities and potential blindspots and consistently taking action to remove obstacles
  2. Support the CEO in managing the calendar, preparing for presentations and company meetings and other key events to meet the company’s strategic objectives
  3. Manage schedules and coordinate meetings that often necessitate synchronization with multiple other executive calendars
  4. Screen and prioritize all incoming phone calls, mail and/or meeting requests
  5. Create meeting agendas, capture meeting minutes and circulate meeting materials
  6. Manage and support special projects related to product innovation
  7. Support brand partnership opportunities
  8. Design and build companywide processes and models to help our CEO and department heads evaluate opportunities and make decisions
  9. Develop close relationships throughout the organization to ensure a cohesive and high-performing culture
  10. Structure annual planning process and quarterly business reviews; including timeline, tracking and reporting
  11. Prepare the CEO for high-consequence external and internal meetings; this typically involves designing highly compelling presentations for company-wide meetings and speaking engagements
  12. Occasionally replace our CEO in meetings to help accelerate projects

Qualifications

  • Bachelor’s degree preferred
  • Experience working with a technology, wellness and/or e-commerce team
  • Exceptional organizational skills and work ethic with impeccable attention to detail; you build processes to ensure you never drop the ball
  • Incredible written and oral communication skills and highly polished presentation skills
  • Demonstrated ability to work on multiple, concurrent projects while maintaining a cool confidence when priorities change in a high-pressure environment 
  • Data-driven and analytical problem solver with the ability to break down complex problems into actionable recommendations
  • Ability to navigate ambiguity as startup conditions change often 
  • Low ego and high ownership; “no task is too small” attitude
  • Self-aware and deeply curious with an insatiable hunger to learn and grow who thrives when out of your comfort zone
